Data Processing Addendum (DPA) Summary

This page provides a practical summary of VehiX360 data processing terms for procurement and security review. It is for informational purposes and does not replace any signed agreement.

1) Roles

• Customer: Typically the controller/business for Customer Data processed in VehiX360
• VehiX360: Processor/service provider handling Customer Data on documented instructions

2) Processing Purpose

Processing supports fleet accountability workflows, including vehicle records, check-out/check-in operations, inspections, incidents, inventory, fixed-asset tracking, and related reporting.

3) Data Categories in Scope

• Account and tenant administration data
• Vehicle and operational event records
• Inspection and incident records, including attachments
• Tenant inventory and fixed-asset records, including asset serial numbers and assignment history
• Billing and payout workflow metadata, including affiliate/KYC/tax status metadata where applicable

4) Security Measures (Summary)

• Access controls and tenant-scoped authorization
• Encryption in transit and, where applicable, encryption at rest
• Multi-tenant segregation controls, including row-level security (RLS) in supported data stores
• Operational logging and auditability controls

5) Subprocessors and Transfers

VehiX360 may engage subprocessors to provide infrastructure, communications, billing, payout, OCR, and related service capabilities. See the Subprocessor Categories page for current categories.

Where cross-border data transfer safeguards are required, VehiX360 uses appropriate contractual safeguards as described in applicable agreements.

6) Data Subject Requests and Assistance

VehiX360 provides reasonable assistance to Customers for privacy rights workflows and related requests, subject to applicable law and contract terms.

7) Retention and Deletion

Retention and deletion controls are governed by service configuration, documented retention rules, and contractual requirements. On termination, data handling follows the applicable agreement and VehiX360 retention/deletion procedures.
